2. What we collect
When you use the enquiry or visit-request forms on this site, we collect:
- Your name
- Your phone number
- Your email address (optional)
- Your preferred call-back time or visit timing
- Anything you choose to write in the “How can we help?” or message field, which may include information about a relative's care needs or health
We do not require you to share health information, but if you do, we treat it as special category data under UK GDPR Article 9 and apply additional safeguards.
3. Why we collect it and our lawful basis
We use the information you provide to:
- Respond to your enquiry by phone or email
- Arrange a visit or tour of the home
- Discuss care options that may suit you or your loved one
Our lawful basis for processing the basic contact information is legitimate interests (UK GDPR Art. 6(1)(f)) — specifically, responding to your direct request for information. For any health information you choose to share, our lawful basis is explicit consent (Art. 9(2)(a)), given by your act of submitting the form.
We will not use your details for marketing or send newsletters unless you separately opt in.
4. Who sees your information
Your enquiry is processed by:
- A Tanglewood Care Services team member with detailed knowledge of Trafford Waters, who will contact you to answer your questions and arrange next steps.
- Our website hosting provider — runs this site and the form-submission code on our behalf.
- Our email delivery service — delivers the notification email of your enquiry to our team.
- Our internal records system — stores a copy of submissions so we can keep track of your enquiry.
These providers act as our data processors under written agreements that restrict them to processing personal data only on our instructions. They are based in the United States, so see "International transfers" below for the safeguards we apply. We can name the specific providers on request.
We do not sell your information or share it with third parties for marketing.
5. International transfers
Vercel, Resend and Google may store or process your data on servers in the United States. We rely on the UK–US Data Bridge and / or the EU Standard Contractual Clauses (UK Addendum) as the lawful transfer mechanism with each provider. You can request a copy of these safeguards using the contact details above.
6. How long we keep it
We keep your enquiry for up to 24 months from the date of submission, after which it is deleted. If you become a resident or sign a contract with us, related information will be retained under our resident-records policy, which is provided separately.
7. Your rights
Under UK GDPR you have the right to:
- Access the personal information we hold about you
- Ask us to correct it if it is wrong
- Ask us to erase it ("right to be forgotten")
- Restrict or object to our processing
- Withdraw any consent you have given (this does not affect lawful processing before withdrawal)
- Receive a copy in a portable format
